This Privacy Policy describes how Classic Language School ("we", "us", or "the School"), operating educational branches in Harbu and Kemise, Amhara Region, Ethiopia, collects, processes, secures, and handles personal information obtained through our official ERP management software, online student registration portal, mobile progressive web application (PWA), Android APK, and campus administration terminals.
By enrolling in courses, submitting an application for admission, accessing our learning materials, or using any digital service provided by Classic Language School, you acknowledge and agree to the practices outlined in this document.
Information We Collect
To provide high-quality language training, academic management, and security, we collect the following categories of data:
Personal Identity Data
Full name (First, Middle, Last), gender, date of birth, personal phone number, email address, student profile photograph, and official government or student identification codes.
Guardian & Emergency Contacts
Parent or legal guardian name, primary relationship, emergency contact phone numbers, and Telegram notification handles for minor students.
Academic & Attendance Records
Course enrollments, batch assignments, classroom attendance logs, assessment grades, test scores, CEFR English levels, and graduation certificates.
Device & Security Telemetry
IP address, device browser type, push notification subscriptions, offline session cache, and cryptographic verification tokens for authenticated sessions.
How We Use Your Data
We process collected information strictly for educational, administrative, and security purposes, including:
- Classroom & Course Administration: Managing batch schedules, tracking student attendance, and generating physical & digital Student ID cards.
- Parental & Student Communication: Transmitting automated transactional SMS notices, attendance alerts, exam schedules, and tuition reminders.
- Cryptographic Payment Verification: Generating and authenticating tamper-proof digital receipts bearing verified QR verification codes.
- System Protection: Protecting the portal against unauthorized intrusion, credential theft, and unauthorized access to school intellectual property.
AI Phonetics & Voice Recording Privacy
Our interactive language curriculum includes cutting-edge AI phonetics engines, speech pronunciation evaluations, and conversational simulations to help students achieve English fluency:
- Transient Processing: Student voice samples submitted during speech practice tasks are analyzed strictly for real-time phoneme matching and pronunciation scoring.
- No Third-Party AI Reselling: Audio recordings are never used to train public commercial AI models without explicit institutional authorization.
- Student Control: Students can delete past conversational practice logs and speech attempts directly from their personal student profile.
Financial & Payment Verification Privacy
When tuition fees, registration deposits, or learning material purchases are paid:
- Receipt Tokens: Financial transactions generate cryptographically signed receipt records. QR codes displayed on official receipts verify payment status without exposing full bank account details or card numbers.
- Bank Slip Storage: Any payment slips or bank confirmation references uploaded by students during online registration are stored in access-controlled storage accessible only by designated finance auditors.
Security & Local Storage Architecture
We implement stringent multi-layer security protections to defend institutional and student data:
All communication is enforced over HTTPS/TLS encryption. Sensitive credentials and passwords are encrypted using modern salted hash algorithms (bcrypt).
Our mobile app supports on-device PIN and fingerprint lock. Biometric signatures remain strictly on your physical phone hardware and are NEVER sent to our servers.
Teachers and administrative staff are restricted to viewing only the student batches and branch locations assigned to their jurisdiction.
Downloaded study materials and vocabulary cards cached for offline study are secured within the device's encrypted browser storage sandbox.
Student & Parental Rights
Under educational privacy principles, students and their legal guardians hold the following rights:
- Right of Access & Inspection: You may view your attendance history, payment receipts, test transcripts, and registered details anytime through the mobile student portal.
- Right to Rectification: If any personal information (phone number, spelling of name, guardian contact) changes or is incorrect, you can request immediate update via your student dashboard or campus registrar.
- Parental Notification Oversight: Parents and guardians retain the right to receive SMS or Telegram alerts regarding attendance and academic status for enrolled minors.
Account Deletion & Data Erasure
Students have the autonomy to request erasure of their digital account. Within our Mobile Student App, a self-service "Delete My Account" option is provided under Profile Settings.
Upon submitting account deletion with valid password authentication, access to the online learning portal, streak missions, and chat channels is immediately terminated. Official academic transcripts and financial tax receipts required under Ethiopian educational record-keeping regulations will be archived securely in cold storage as mandated by law.
